Overview – Leader’s communication calendar
The leader’s communication calendar ensures effective planning, prioritisation and timeliness of a leader’s communications. It optimises the use of a leader’s time through ‘smarter’ use of formal and informal communication opportunities. The calendar encourages the discipline of sitting down at the beginning of the year and mapping out all known dates, events and activities for the next 12 months. This enables identification of opportunities to communicate with employees in a structured and planned manner. The calendar also facilitates coordination of the leader’s travel diary with opportunities to meet employees in places to which the leader will be travelling for purposes such as client meetings or investor presentations.
This tactic is useful for:
✓ Reducing the likelihood of missing communication opportunities that can be easily overlooked, e.g. significant days.
✓ Co-ordinating a leader’s business-related travel with opportunities for face-to-face communication with employees in those locations, such as walkabouts.
✓ Providing an at-a-glance view of a leader’s communication activities to assist in a best-practice approach.
✓ Raising the leader’s profile through increased exposure.
Things to consider:
⇒ Develop a template. Show the months down the side. Along the top insert numbers from one to seven in each column.
⇒ In every row and column write:
– Desired outcome:
⇒ Include communication opportunities such as:
– Organised social events.
– Stakeholder engagement events.
– Employee-related activities such as culture surveys, etc.
– Landmark operational dates, such as sales quota targets, etc.
– Your regular communication activities, such as blog, walkabouts, e-zine, leader’s update, ‘Ask the Leader’, etc.
How often should leaders communicate with their employees? A useful benchmark is the findings of Hewitt Associates’ Best Employers study. It shows that leaders of top-performing organisations communicate SEVEN times per month, on average. Map out a minimum of seven communication activities every month on your communication calendar to attain best-practice standards.
